Our software costs keep growing and nobody has the overview

PMS, channel manager, booking engine, POS, newsletter, review tool, rota: something gets added every year, and little is ever cancelled. Anyone who knows the total is in for a shock.

Typical for: properties where every department orders its own tools · operations with many monthly subscriptions on different credit cards · hotels after several vendor changes

How you recognize it

  • List every software subscription and licence with cost, term, notice period and the person responsible.
  • Pull the debits from your bank account and credit cards for the last twelve months.
  • Mark features you pay for twice, such as newsletters in the PMS and in a separate tool.
  • Ask every department which tools are actually used and which are merely still running.
  • Put every notice period in a calendar, with a reminder three months ahead.
  • Decide who approves new software, and check beforehand whether an existing system can already do the job.

Diagnosis

390 € fixed price

A vetted Hospi analyses your situation in a structured way, in conversation and with a written result. Every statement clearly labelled: FACT, BENCHMARK, HYPOTHESIS or CONCLUSION. You get a concrete path, not a sales meeting.

  • A legitimate outcome is also: no engagement needed.
  • If an engagement follows, the diagnosis fee is fully credited.

Cause fields and how to tell them apart

Software costs grow quietly because each subscription looks small on its own. Only when you add them up do you see how much the property spends every year and how much of it achieves very little.

These fields are complete, and many properties get there on their own. That is what this page is for. The cost simply does not appear on an invoice: internal hours, a few attempts, and a season that keeps running in the meantime.

01

Nobody has the list

How you spot it

Subscriptions run on different cards and accounts. There is no overall overview.

The way out

One central register of all tools with costs, contract details and owners, reviewed once a year.

02

Duplicate features

How you spot it

The PMS can send guest emails, yet a separate newsletter tool is running. The POS has reports, yet there is a reporting subscription.

The way out

Name one leading system for each task and check which add-on tools can then be dropped.

03

Silent renewals

How you spot it

Contracts renew automatically for another year because the notice period was missed.

The way out

Keep notice periods in a calendar and check briefly before every renewal: is it used, does it deliver, is there something better?

04

Bought but never rolled out

How you spot it

A tool was bought after a demo, but nobody set it up properly. It runs, but hardly anyone uses it.

The way out

Before every purchase, decide who rolls the tool out and how its benefit will be measured after three months. If the goal isn't met, cancel it.

Frequently asked

Should we switch to an all-in-one solution?
Not automatically. A suite saves interfaces but is often weaker in individual areas. What matters is which tasks are important to you and how well the systems work together.
How often should we review this?
Thoroughly once a year, ideally before budget planning. Plus a quick look before every contract renewal.
Who should be responsible?
Someone with an overview of operations and finance. It doesn't have to be IT. They need the authority to cancel tools as well.
